One View Across Every Lodge and Chapter in the Province
Every lodge and chapter on The Working Tools already keeps its members, meetings, candidates, welfare and accounts in one place. The Overseer brings those places together. From the same switcher a Secretary uses every day, it opens a single view across every unit you look after: who the members are, what is coming up, which lodges need attention, how welfare and finances stand, and what the provincial team is working on. Nobody fills in a return; the figures are the lodges' own, and always current.
Who It Is For
- The provincial team. The Provincial Secretary, Almoner, Treasurer, Director of Ceremonies and Charity Steward each get a provincial version of their own office, seeing the same things across every lodge at once instead of asking each lodge in turn.
- Brethren who serve several units. A Secretary of a lodge, a chapter and a Mark lodge sees one combined diary, one member list and one set of reminders, without switching back and forth.
The Whole Province on One Page
- A health strip that picks out what needs attention: lodges with no meeting in the next 90 days, members with no emergency contact, open candidates, open welfare cases, overdue forms and, if you switch finance on, outstanding dues
- Every unit with its next meeting and member count, so the lodge with nothing in the diary rises to the top
- A combined calendar of every meeting, colour-coded by unit, with a private feed for Outlook, Apple or Google Calendar that never carries member names
- Search across members, events and documents, limited to what each officer may see
Answers Without a Single Return
Nine roll-up reports, each filterable by lodge and date and exportable to Excel or CSV:
- Members, recognising a Brother who belongs to more than one unit as one person
- Demographics: age profile, years in Masonry, rank profile and membership movement
- Attendance by lodge, with the monthly trend and members below a threshold you choose
- Welfare and the Forms tracker, for the Provincial Almoner only: open cases, disbursements, overdue reports and critical flags
- Finance: income, expenditure, bank balances, dues and a charity roll-up, with each lodge on its own financial year
- Candidates by stage, with proposer, seconder and who recommended them
- Ritual: ceremonies worked and who performed what
- Compare: pick a measure and see every lodge ranked side by side
Running the Province, Not Just Watching It
- Group Emailer: write once and reach every member, chosen lodges, every holder of an office or the provincial team, with replies coming back to you
- Alerts: hear straight away, or in a daily digest, when a member resigns or passes away, a candidate moves stage, a meeting is cancelled, a form is overdue or flagged critical, or an invoice is overdue
- Tasks: a provincial helpdesk. Log a request (or paste in an email), assign it, track it through to done; tasks for a lodge Secretary appear on their own dashboard
- Documents: keep provincial papers in one place and place a circular in every lodge's Documents in a single action
- Provincial Contacts: one list of the provincial team, published into every lodge with the summons flag carried across, and kept in step when it changes
- Templates: publish a summons layout, email template or meeting planner to chosen lodges; each lodge gets its own copy to adjust
Anything the Overseer places into a lodge is written into that lodge's own activity log, with the officer's name against it.
Each Officer Sees Their Own Office
Access is given to a named person with a provincial role (Administrator, Secretary, Treasurer, Almoner, DC, Charity Steward or Viewer), and can be withdrawn at any time. Welfare is open only to the Almoner and Administrator. Group-wide switches let you turn finance, welfare, contact details or documents off for everyone.
Lodges on Their Own Subscription Stay in Control
Most lodges pay for The Working Tools themselves, and nobody at Province owns their records. The Overseer is built for that:
- The lodge owner opens Data Sharing in Settings, ticks exactly what to share (members, contact details, events, attendance, candidates, finance, welfare, documents) and generates a one-time key for the Province
- Group emails to the lodge's members are a separate choice, so a lodge can share its records without opening its members' inboxes
- A shared lodge is read-only to the Province: it is never written to
- Every view of the lodge's data is recorded in an access log the owner can read, and either side can end the sharing at any moment
Built With Your Data Protection Officer in Mind
Information only appears when the lodge has shared it, the Province has switched it on and the officer's role allows it. Nothing is copied to any third party, and the calendar feed carries meetings only. Read the full data protection summary in our help centre.
