Ask any Past Master to name the most important Officer in a well-run Lodge and, after a diplomatic pause, most will quietly say the same thing: the Secretary. The duties of a Masonic Lodge Secretary touch every part of Lodge life — from the summons that calls Brethren together, to the minutes that record what happened, to the returns that keep the Lodge in good standing with Province and Grand Lodge.

This guide sets out the full range of a Lodge Secretary's duties, roughly in the rhythm of the Masonic year, along with practical advice for carrying them out without losing your evenings.

The Core Duty: Communication

Above all else, the Secretary is the Lodge's communication hub. Correspondence from Grand Lodge, Province, other Lodges and individual Brethren all flows through the Secretary, who must read it, act on it, report it and file it. In practice this means:

  • Receiving and answering official correspondence promptly
  • Reporting relevant communications to the Lodge at each meeting
  • Keeping Members informed of events, changes and important dates
  • Being the first point of contact for visitors and enquiries

Before Each Meeting

The weeks before a meeting are the Secretary's busiest. Typical pre-meeting duties include:

  • Preparing and issuing the summons — the formal notice of the meeting, including the agenda, sent to every Member in good time (and to visiting Brethren where appropriate)
  • Agreeing the agenda with the Worshipful Master and Director of Ceremonies, including any ceremonies, ballots or business items
  • Collecting responses — who is attending, who is dining, and who sends apologies
  • Confirming dining numbers with the caterer and helping prepare the seating plan for the Festive Board
  • Preparing paperwork for any candidates: proposal forms, ballot papers and Grand Lodge registration forms

During the Meeting

  • Reading the minutes of the previous meeting for confirmation
  • Recording attendance of Members and visitors in the attendance register
  • Reporting correspondence and Provincial or Grand Lodge communications
  • Taking notes of everything that happens — ceremonies performed, ballots taken, propositions made and decisions reached — ready for the minutes

After the Meeting

  • Actioning decisions — letters to be written, forms to be submitted, arrangements to be made
  • Updating records — attendance, offices held, ceremonies performed and any changes to Members' details

  • Installation paperwork — returns of Officers after the Installation meeting
  • Registration of new Members and certificates for those Passed and Raised
  • Resignations, exclusions and deaths — recorded and reported correctly
  • Notifying changes of Members' addresses and contact details
  • Supporting dues collection alongside the Treasurer

The Unwritten Duties

Beyond the rulebook, experienced Secretaries know the role carries duties no summons ever lists: gently reminding Brethren to respond, welcoming nervous candidates, briefing the Worshipful Master before he is asked a question he wasn't expecting, and keeping an eye on Members who have gone quiet. A good Secretary is part administrator, part diplomat and part early-warning system.
